My former director-turned-mentor is a mediator for couples pursuing divorce and I learned a great deal about effectively regulating the emotions of both children and adults. First and foremost is the capacity to empathize with the students and parents, allowing them to fully address their concerns and using follow-up questions to understand where they are coming from and their concerns for their child's academic success. Once I've ascertained their concerns, I would be able to go through the student's records and effectively communicate their learning plans and progress to the parents, giving proactive updates as they come. Having worked with cancer patients, I am extremely adept at communicating with people who might be in situations where emotions, or pain, are preventing them from communicating calmly. In these instances, I have found that offering an ear to listen, going over processes and expectations step by step, and collectively brainstorming solutions is the most effective way to foster an environment that feels warm and demonstrates compassion.

How have you managed scheduling conflicts in the past when coordinating between students, parents, and teachers?
Candidate's Answer:In my past role, I learned that scheduling requires understanding. And by this, I mean understanding clients -- in this case students -- and the tutors who are working to provide the best possible education to them. While I haven't worked on scheduling students and tutors in my previous role, in the absence of a client services coordinator, I was tasked with managing the high volume of calls and walk-in clients who were requesting the organization's client services. Because these services were almost exclusively provided by third-party vendors, I found that listening compassionately to the clients and caregivers was always the first step. This allowed them to feel heard and validated, which made all future communication much smoother. Then, I would communicate the clients' needs back to them in a short email as well as to my director who approved all requests. Once the requests had been approved, I would reach out to vendors we had partnered with on such cases, as well as to new vendors on the island, to find the most cost-effective package, which preserved the donor and government dollars the organization stewarded. Once a plan had been formed and approved by all parties, I would orally communicate this with the vendor and send follow-up emails detailing the plan to the clients and vendor. Again, because there was a high volume of requests and limited resources allotted to each client, I found the best way of keeping myself organized was to use a combination of digital methods -- like Notion -- as well as two desktop calendars. One calendar kept me on track with my position's responsibilities and the other was a rolling priority list of follow-up calls and emails to be sent, confirming the receipt of client services. Additionally, I realized that keeping an open line of communication, by providing proactive updates, ensuring that the clients were satisfied and that I was able to respond to any questions and concerns in a timely manner.
