Candidate's Answer:Sure I organised an event for 200 people this was a conference aimed at healthcare professionals and academics in an off-site location in Wales in order to ensure the success of the conference I ensure that there were structures in place to ensure every stage of the process of organizing the conference would be a well-hound and organized to ensure a seamless experience these processes included creating a communications plan which encompassed all stakeholders this also included creating board which is a visual communication board to asynchronously communicate the milestones and for all stakeholders to be able to track progress on the project I also set up meetings with stakeholders who are on the project to bring storm and problem solve if any issues had arose following on from that I was able to manage it all of the logistics seamlessly using my timeline so that I knew when to work on specific tasks by combining all of these strategies I was able to effectively and seamlessly coordinate this conference which had a 95% satisfaction rate in the survey

Candidate's Answer:In terms of approaching vendor selection and negotiating the vendors during the event planning process I typically would create matrix table to identify the accessibility cost and quality criteria of what I might be assessing this might be for example catering I would typically identify the historic suppliers that the organization may have used in addition I would use word of mouth and look at recommendations from other event organizers or organizers who may have used their services before and finally conduct an online search by using this strategy I would be able to negotiate and understand which are the Essential qualities that would be required for example if the main users of the event where required to use pushchairs for example then I would ensure that the Venue would either be on the ground floor or have a lift for instance by using the strategy I would be able to find the most accessible resource within the criteria that I created

Candidate's Answer:To ensure effective communication with events stakeholders such as speakers and sponsors when I Began planning an event I typically create a stakeholder communications plan this plan would be developed in such that it would have a Collins dating the type of communication the frequency of the communication and that means of which the communication would be disseminated for instance via teams for example or by email depending on the type of communication and the target audience of that communication in this case it could be speakers it could be internal team members and finally the project own the project owner of that information and who would be responsible for communicating it so for example I would use a shared Workspace area such as teams to be able to communicate frequently and stage-to-day questions with for example yourself and Vay whereas team meetings which would be held on a less frequent basis with for example the organizing committee would be hard on a monthly basis which is more of a appropriate time to identify blockers problem solve and brainstorm the benefits are having a structured communication plan such as this is that it ensures transparency among all stakeholders and ensures that you align with everybody in terms of how best and information resource should be communicated avoids email overload and allows everybody to stay on the same page
